GuidedTalent is a trading name of Guided Employment Group Pty Ltd (ABN 54 618 169 350) (“GuidedTalent”, “we”, “us” or “our”). We provide specialist recruitment services across Data, AI and adjacent technology roles, on both a permanent placement and labour hire / on-hire contracting basis, through our website at guidedtalent.com (the “Site”).

We are committed to handling personal information responsibly and in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what personal information we collect, how we collect and use it, who we share it with, and the choices and rights you have.

This policy applies to candidates, clients, website visitors, subscribers and anyone else who interacts with GuidedTalent. Where we act on behalf of a client as part of a specific recruitment engagement, that client may separately determine how certain information is handled - we encourage you to also review the privacy policy of any employer you are introduced to.

1. Information we collect

The personal information we collect depends on how you interact with us. It may include:

  • Identity and contact details - name, email address, phone number, and location.
  • Professional information - CV/resume, work history, qualifications, skills, salary expectations, right-to-work status, references, and LinkedIn or other professional profile details.
  • Client and business contact information - job title, employer, hiring requirements, and correspondence, where you engage with us as a client or hiring manager.
  • Communications - records of calls, emails, meeting notes and other correspondence between you and GuidedTalent.
  • Technical information - IP address, browser and device type, and pages visited on the Site, collected automatically when you use it.
  • Any other information you choose to provide to us, including in support of a specific application or engagement.

We do not generally seek sensitive information (such as health, criminal history or racial/ethnic background) unless it is directly relevant to a specific role or required by law - for example, where a client role has a genuine occupational requirement, or a background check is requested with your consent.

2. How we collect information

  • Directly from you - when you submit your details through our website, apply for a role, contact us by phone or email, or meet with one of our consultants.
  • From publicly available sources - including LinkedIn, company websites and professional directories.
  • From referrals - made by clients, other candidates or professional contacts.
  • From referees and background-check providers - where you have consented to a reference or background check being conducted.
  • Automatically - through cookies and analytics tools when you browse the Site (see section 7, Cookies).

3. How we use your information

We use personal information to:

  • provide recruitment, labour hire and on-hire contracting services, including matching candidates to suitable roles;
  • assess a candidate’s suitability for a specific role and present their application to a client, with their consent;
  • manage our relationship with clients, including account management and billing;
  • communicate with you about roles, market insights, or our services, including subscriber and mailing-list communications where you have opted in;
  • operate, maintain and improve our website and services;
  • comply with our legal, regulatory and contractual obligations, including labour hire licensing and workers’ compensation requirements; and
  • manage any complaint, dispute or legal claim.

We will never charge a candidate a fee for finding them employment, and we will not knowingly provide misleading information about a role or engage in misleading or deceptive conduct.

4. Who we share your information with

We may share personal information with:

  • clients, where you have been put forward as a candidate for a specific role, or where information is needed to manage a client relationship;
  • referees and background-check or screening providers, where you have consented to a reference or check;
  • our service providers, including our CRM/applicant tracking system, email and communications platforms, workflow automation tools, and website hosting/backend providers, each of whom is only permitted to use your information to provide services to us;
  • professional advisers (such as our accountants, insurers or lawyers) where reasonably necessary; and
  • regulatory bodies, government agencies or law enforcement, where required or authorised by law.

We do not sell personal information to third parties.

5. Overseas disclosure

Some of our service providers may store or process information outside Australia (including via cloud-based platforms). Where this occurs, we take reasonable steps to ensure your information continues to be handled in a manner consistent with the Australian Privacy Principles. If you are located outside Australia, or engage with us in relation to a role or client based overseas, we will also take reasonable steps to comply with applicable overseas privacy laws (such as the EU/UK General Data Protection Regulation, where relevant) in respect of your personal information.

6. Data storage and security

We store personal information electronically in secure, access-controlled systems, and take reasonable technical and organisational steps to protect it from misuse, interference, loss, and unauthorised access, modification or disclosure. We retain personal information only for as long as necessary for the purposes described in this policy, or as required by law, after which it is securely deleted or de-identified.

7. Cookies and website analytics

Our Site uses cookies and similar tracking technologies to help it function properly, remember your preferences, and understand how visitors use the Site, so that we can improve it over time. You can control or disable cookies through your browser settings at any time. Disabling cookies may affect how parts of the Site function. We do not use cookies to sell your personal information.

If you subscribe to our mailing list or otherwise opt in, we may send you communications about roles, market insights or our services. You can opt out at any time using the unsubscribe link in any communication, or by contacting us using the details in section 11. We will continue to contact you where necessary to provide services you have requested or where required by law.

9. Your rights

Under the Privacy Act, you have the right to:

  • ask us what personal information we hold about you and request access to it;
  • request correction of inaccurate or out-of-date information;
  • request that we delete your information, subject to our legal and record-keeping obligations; and
